Implementation

Technology backed by real HR expertise.

Technology backed by real HR expertise — because the hard part is never the software.

PiPO HRIS is built by ACCUREX Human Capital Hub, an HR consulting practice. That order matters: the platform exists because the consulting work kept running into the same problem, not the other way round. It means an implementation is led by people who have run payroll cycles, restructured organisations and cleaned up registers — and who will tell you when the right answer is to change a process rather than configure around it.

How an implementation runs

Six stages. The parallel cycle is the one organisations are tempted to skip and the one that decides whether go-live is calm.

  1. 01

    Scope

What you actually do today, who does it, and what has to be true at the end.

    • Current process
    • Pain points
    • Success criteria
  2. 02

    Design

Structure, roles, rules and approval chains configured to your organisation.

    • Entities and sites
    • Roles and scope
    • Rules and rates
  3. 03

    Migrate

Existing data cleaned, de-duplicated and loaded, with gaps surfaced rather than inherited.

    • Data cleaning
    • De-duplication
    • Gap report
  4. 04

    Configure

The platform set up against the design, and reviewed with the people who will use it.

    • Configuration build
    • Review
    • Sign-off
  5. 05

    Parallel

One full cycle run alongside your existing process, with the outputs compared line by line.

    • Parallel run
    • Output comparison
    • Variance resolution
  6. 06

    Go live

Switch over with support through the first full cycle, and training where the work happens.

    • Training
    • Cutover
    • First-cycle support

People, process, technology

People

Supervisors and administrators trained where they work, not in a classroom away from the site.

  • Role-based training
  • On-site for frontline supervisors
  • Support through the first full cycle

Process

Where a process is genuinely broken, we say so — configuring around it just moves the problem into the system.

  • Current-state review
  • Process recommendations
  • Change documented, not assumed

Technology

Configuration to your structure and rules, with integration scope confirmed before commitments are made.

  • Structure and rules
  • Data migration
  • Integration scope confirmed in writing

The system is the easy part.
Getting the organisation ready is the work.

Which is why implementations are led by consultants who have done the operational job, not only the technical one.

What we ask of you

An implementation needs decisions from your side, and the projects that run late are almost always the ones where those decisions were deferred. The main ones are: what a site is, who approves what, which rules apply to which population, and what has to be true before someone can be paid.

We will bring a recommendation to each of them based on what similar organisations do. But they are your decisions, and making them early is the single biggest thing within your control.

Common questions

It depends on scope, data quality and how quickly the configuration decisions are made. We give a timeline after scoping, against your specific situation, rather than a headline number that would not survive contact with your data.

Yes, and it is a defined stage rather than an afterthought. Data is cleaned and de-duplicated first, and gaps are reported before loading so they are fixed rather than carried forward.

We strongly recommend it, and most implementations include one. It is where differences between the old and new outputs get explained while both are still available.
